Privacy Policy
At MailNero, your privacy is important to us. This Privacy Policy explains what information we collect, how we use it, and the choices you have regarding your data. By using the MailNero platform, you agree to the practices described in this policy.
1. Information We Collect
MailNero collects information necessary to provide shipping label services and maintain platform security. We collect only what is reasonably needed to operate the Service, and we do not sell your personal information to third parties.
We collect information in the following categories:
- Account information — name, email address, and password hash
- Shipping data — sender and recipient names, street addresses, cities, states, ZIP codes, and countries
- Transaction data — label amounts, carrier selections, Monero payment records, and wallet balance transactions
- Technical data — IP address, browser type, session identifiers, and access timestamps
- Usage data — pages visited, features used, and interaction patterns within the platform
2. Account Data
When you register for a MailNero account, we collect your name, email address, and a securely hashed version of your password. We never store your password in plain text. Your email address is used for account access and service communications.
You may update your account information at any time by logging in to your account settings. You may request deletion of your account by contacting privacy@mailnero.com.
3. Shipping Address Data
To generate shipping labels, we collect the sender and recipient names and postal addresses you provide for each shipment. This information is transmitted to our carrier partners (including USPS, UPS, and FedEx via Shippo) to generate valid postage and routing data.
Shipping address data is stored with your order history and is accessible to you through your account. We do not use recipient address data for any purpose other than facilitating your requested shipment.
You are responsible for ensuring that all address data you provide is accurate and that you have the right to ship to and from the addresses entered.
4. Payment Handling
MailNero accepts payments exclusively in Monero (XMR). We do not collect, store, or process traditional payment card information such as credit card numbers, bank account details, or ACH routing numbers.
When you make a payment, we record the USD-equivalent amount, the associated transaction timestamp, and the Monero wallet address used for verification purposes. Monero transaction IDs may be logged to confirm payment receipt.
Wallet balance credits and debits are recorded in our internal ledger associated with your user account. This transaction history is accessible to you in your Wallet dashboard and may be retained for legal and accounting purposes.
5. Cookies & Tracking
MailNero uses session cookies to maintain your login state and provide a consistent experience across pages. These are strictly necessary cookies and are not used for advertising or cross-site tracking.
We use the following types of cookies:
- Session cookies — temporary cookies that expire when you close your browser, used to keep you logged in during your visit;
- Flash message cookies — short-lived cookies used to display one-time notifications (such as confirmation or error messages) between page loads;
- CSRF / security tokens — used to protect form submissions from cross-site request forgery attacks.
We do not use advertising cookies, third-party tracking pixels, or social media widgets that collect behavioral data for targeting purposes.
6. Analytics
MailNero may collect basic usage analytics to understand how the platform is used and to identify areas for improvement. Any analytics data collected is aggregated and anonymized to the extent practicable.
We do not currently use third-party analytics services such as Google Analytics. If this changes, we will update this Privacy Policy accordingly and provide appropriate disclosure.
Server access logs (including IP addresses and request timestamps) are retained for security monitoring and abuse prevention purposes. These logs are not used for commercial profiling.
7. Third-Party Integrations
MailNero uses the following third-party services to operate the platform:
We do not share your personal data with any third party for marketing, advertising, or commercial purposes.
8. Data Retention
We retain your data for as long as your account is active or as needed to provide services. Specifically:
- Account data — retained for the lifetime of your account plus up to 90 days after deletion, to allow for dispute resolution;
- Order and shipping data — retained for a minimum of 3 years for business records and legal compliance purposes;
- Payment and wallet records — retained for a minimum of 7 years for financial recordkeeping and tax compliance;
- Server logs — retained for up to 90 days for security monitoring, then deleted or anonymized.
You may request deletion of your account and associated personal data by contacting privacy@mailnero.com. Note that certain records may be retained beyond your request where required by law.
9. Legal Compliance & Disclosure
MailNero may disclose your information to law enforcement, government agencies, or other authorized parties where we are legally required or permitted to do so, including in response to valid subpoenas, court orders, or other lawful legal process.
We may also disclose information when we reasonably believe disclosure is necessary to prevent fraud, protect the safety of our users or the public, enforce our Terms of Service, or protect our legal rights.
Where legally permitted, we will attempt to notify affected users prior to disclosure. However, we reserve the right to disclose information without prior notice where required by law or in urgent situations involving safety or fraud.
10. Your Rights
Depending on your jurisdiction, you may have the following rights regarding your personal data:
- Access — request a copy of the personal data we hold about you;
- Correction — request correction of inaccurate or incomplete data;
- Deletion — request deletion of your personal data, subject to legal retention requirements;
- Portability — request your data in a structured, machine-readable format;
- Objection — object to processing of your data in certain circumstances.

11. Security
MailNero uses industry-standard security measures to protect your data, including encrypted connections (HTTPS/TLS), hashed password storage, and session-based authentication with secure cookies.
While we take reasonable precautions to protect your information, no system is completely secure. We encourage you to use a strong, unique password for your MailNero account and to log out when using shared devices.
If you become aware of a security vulnerability or potential breach, please report it responsibly to security@mailnero.com.
12. Children's Privacy
MailNero is not directed at children under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has created an account or submitted personal information through our platform, please contact us at privacy@mailnero.com and we will take appropriate action.
13. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will update the "Last Updated" date and, where appropriate, notify users via email or in-platform notification.
Your continued use of the platform after changes are posted constitutes acceptance of the updated policy.
